Position Title: Supply Chain Officer, Planning and Ordering
Reports to: Associate Director of Supply Chain
Location: Boston, MA
General Responsibilities:
The Supply Chain Officer will have responsibilities across all functional areas of supply chain, including sourcing, planning and ordering, logistics, and systems. The Supply Chain Officer will manage the planning and ordering function within the supply chain team, which includes forecasting, budgeting, ad hoc data analysis, data quality management, and managing a team that executes ad hoc and recurring orders. Within this role, responsibilities also include, tracking and optimizing work streams, building the capacity of our international supply chain and pharmacy teams, and implementing systems and processes. The Officer will also provide support to other functional areas within supply chain as needed. They must be comfortable representing the supply chain team both internally and externally to donors, vendors, and other partners with importance to the organization, and will support and contribute to broader organizational projects, including proposal development, grant reporting, budget creation, and systems design.
Specific Responsibilities:
Team Management & Mentorship
- Manage assigned staff, providing ongoing feedback on performance and helping develop individuals to achieve their personal and professional goals
Site Support
- Act as lead point of contact for assigned PIH sites, including setting up systems to maintain regular communication and reporting back to site-based leaders and supply chain/operations staff about supply chain updates and progress
- Plan, prepare, and conduct trainings when traveling to sites on supply chain processes and systems
- Flexibly respond to site requests for support
Optimize supply chain processes and systems
- Propose and execute process improvements within assigned functional area
- Design supply chain reports and contribute to the design and testing of supply chain electronic information systems
Ordering and data analysis
- Act as the supply chain team’s subject matter expert for planning and ordering
- Act as the supply chain team’s lead for all data analysis projects
- Lead data quality improvement activities within the supply chain team
- Using data from multiple sources, conduct cross-site forecasting to inform budget and proposal development
- Responsible for developing and tracking the supply chain team’s annual procurement plan
- Responsible for quarterly analyses for each country site to recommend order quantities
- Conduct data analysis as needed to prevent stock outs, inform donor reports, or to support special projects
- Oversee staff executing orders to ensure they comply with internal and grant-specific procurement and financial procedures
Qualifications:
Required
- 6-8 years’ experience in a supply chain, operations, public health or healthcare setting required
- Supply chain management experience in planning/ordering
- Advanced excel skills and ability to train others in advanced Excel functions
- Extensive experience analyzing large data sets and designing reports
- Experience working with information systems, preferably inventory management or ERP systems
- High attention to detail
- Ability and willingness to travel up to 25% of the time
- Ability to solve problems creatively in order to meet organizational goals and objectives
- Ability to work well with a diverse team of stakeholders, honoring the concerns and priorities of local staff in field sites
- Flexibility, humility, and a good sense of humor
Preferred
- Experience working/living in a developing country
- Global health or medical purchasing experience
- Experience managing and/or mentoring staff and teams
- Experience implementing and/or designing configurations for ERP systems
- Familiarity with Access or SQL
- Proficiency in Haitian Kreyol or French
- Interest in social justice and/or issues of access to medicines strongly desirable
