Title: Staff Operations Coordinator

General Responsibilities:
The Staff Operations Coordinator’s role is to oversee external relations with visitors and clinical staff, as well as to works closely with Liberian staff, accompanying them to oversee staff and transportation logistics within a specific county. The activities managed by the Staff Operations Coordinator include external relations, transport, staff management and logistics. The position is envisioned as managing continual internal quality improvement, and the ground team’s ability to deliver on ambitious initiatives. The Staff Operations Coordinator reports to and supports directly the County Operations Program Manager.
Specific Responsibilities:
The Staff Operations Coordinator will serve as the primary responsible planner and decision-maker in the following areas.
Staff Management
- Serve as the primary point person for oversight and accompaniment of residential supervisors and their teams staff, ensuring that all travel and accommodation logistics run smooth and efficiently.
- This includes maintaining and renovating residential infrastructure.
Logistics
- Work closely with Logistics Coordinator to maintain effective transportation logistics into and around the county.
- Ensure that day-to-day residential operations run smoothly in support of cohorts of clinicians.
- Serve as point person in ensuring that occupational health procedures and protocols are being adhered to.
Visitor Management
- Work closely with the External Relations Coordinator to ensure appropriate and manageable flow of all visitors including donors, partners, non Liberia-based PIH staff, and local and international media.
- Track all visitors to field sites and manage all visitor logistics in coordination with Ministry of Health (MOH), PIH staff, and hospital management. Serve as a point of contact in the field for visitors, and accompany specific visitors for the duration of their stay.
- Develop itineraries tailored to visitor interest, give tours of PIH/MOH sites, and schedule necessary meetings with PIH staff and other stakeholders.
Operational Planning
- Work with leaders to set monthly priorities and determine key tasks.
- Manage staff to create feasible work plans that harmonize with one another.
- Collaborate across the team to create and present timelines and GANTT charts for key initiatives to facilitate planning and decision making.
Supply Chain
- Create and manage systems to ensure an efficient supply chain of food and all household commodities.
- Oversee selection and procurement of equipment, capital items, and imported goods.
- Work with Procurement and Operations leadership in materials planning and tender committees.
Qualifications:
- BA in relevant field.
- Minimum three years work experience, in resource limited settings.
- Proven ability to manage people and projects, preferably cross culturally.
- Proactive, clear, and compassionate communicator.
- Strong ability to understand and manage teams and data.
- High proficiency with Microsoft Office Suite, with particularly high Excel proficiency
- Willingness to relocate to Liberia and to make regular visits to field sites, being based in a rural location.
- A commitment to health equity and social justice.
- English proficiency required.
- Adaptability to work in a rapidly changing environment and flexibility with schedules.
