Reports to: Associate Director of Operations Systems

Location: Boston or Remote US, up to 25% international travel

General Responsibilities:

The Senior Analyst, a member of the Operations Systems team within the International Operations Department, will contribute to the design and implementation of new features for PIH’s Logistics Management Information System, OpenBoxes. The analyst will provide training and user support for both internal and external users of OpenBoxes, including developing training materials and collecting and documenting user feedback. The Senior Analyst will also travel to support the Operations Systems Manager with implementations of OpenBoxes as needed.

The International Operations Department is responsible for supplying PIH sites with pharmaceuticals and medical and programmatic equipment and supplies. This scope of work includes international order management and administration, sourcing new items and identifying best pricing, overseeing US-based warehousing, managing international shipping and documentation, coordinating the customization and implementation of PIH’s supply chain management software, designing reports, providing support for biomedical and facilities teams, and providing technical support.

Specific Responsibilities:

OpenBoxes Administration and Training (60%):

  • Act as the supply chain team’s primary administrator of OpenBoxes, including but not limited to the activities listed below:
    • Monitor the OpenBoxes helpdesk and respond promptly to all bug reports or requests for assistance
    • Write and disseminate release notes for new features in OpenBoxes, and update all training documentation as new features are released
    • Regularly solicit feedback from users across all locations
    • Conduct regular introductory and refresher trainings, both in the US and at care delivery sites in Liberia, Sierra Leone, Rwanda, Malawi, Haiti, Mexico, and Lesotho
    • Support the development of user and configuration manuals for OpenBoxes by documenting features in the OpenBoxes wiki and developing short training videos
  • Analyze OpenBoxes data to proactively identify and lead opportunities for improvement through user training and data management/cleaning

Business Analysis (20%):

  • Participate in meetings related to software development and keep informed about work in progress on new features
  • Translate user feedback into actionable tickets for software developers
  • Draft initial mockups of suggested features for review
  • Provide user acceptance testing for new features

Software implementations (20%)

  • Prep data imports for implementation of OpenBoxes at new sites
  • Assist with configuration and testing of software for new implementations
  • Travel to implement OpenBoxes at PIH sites and external partners
  • Contribute to proposals for funding for software development and implementation as needed

Qualifications:

  • Required:
    • Combined 5-7 years experience and education (post-secondary degree counts towards education) in supply chain, operations, informatics, global health or similar
    • Experience with Enterprise Resource Planning (ERP) systems or Logistics Management Information Systems (LMIS) or proven ability to learn new software quickly
    • Experience providing trainings and user support for software
    • Advanced Excel skills
    • Strong analytical skills and demonstrated success solving problems creatively
    • Ability to work well with a diverse team, honoring the concerns and priorities of staff in care delivery sites
    • High attention to detail and ability to respond to changing priorities
    • Strong communication skills
    • Interest in social justice and health equity
  • Preferred:
    • Experience with software development as project manager or business analyst
    • Familiarity with Agile methodology for software development
    • Experience managing and analyzing large data sets
    • Ability and willingness to travel up to 25% of the time
    • Experience working/living in a developing country
    • Proficiency in Haitian Kreyol, French, or Spanish
